The Rose State College Grants Office supports faculty, staff, and administrators in developing, submitting, and managing externally funded projects. Established as a standalone office, the Grants Office ensures all sponsored projects align with institutional goals, meet compliance standards, and contribute to student and community success.

We provide start-to-finish support across the grant lifecycle while fostering collaboration among departments and external partners.

The Grants Office provides comprehensive support to faculty, staff, and administrators throughout the entire grant lifecycle — from idea development to project closeout. Our goal is to ensure that every sponsored project aligns with institutional priorities, complies with funding requirements, and contributes to the success of Rose State College.

The Grants Office supports the campus community by:

  • Identifying funding opportunities that advance College and departmental priorities.
  • Guiding proposal development, including narrative drafting and budget preparation.
  • Reviewing and approving all institutional grant submissions.
  • Coordinating compliance and reporting with funding agency requirements.
  • Supporting post-award management, monitoring, and closeout of funded projects.

These procedures ensure institutional coordination, compliance, and alignment with College priorities.

These procedures ensure institutional coordination, compliance, and alignment with College priorities.

The policies and procedures for the Grants Office are currently in development and will be made available within the official Rose State College Policies and Procedures Manual. Until publication, all grant-related activities must comply with the Rose State College Policies and Procedures Manual and all applicable sponsor guidelines.

All sponsored project activity must be coordinated through the Grants Office for institutional review and approval prior to external submission. Each form listed below must be submitted electronically to ensure compliance, budget accuracy, and alignment with Rose State College priorities.

Travel Process and Guidelines

Rose State College has established standardized travel processes to ensure consistent reporting, accountability, and compliance across campus. The following procedures apply to all grant-funded travel activities.

For Principal Investigators (PIs) and/or Project Directors (PDs) overseeing grant-funded projects:

  1. Initiate the Travel Request
    Complete your travel request in DocuSign and indicate whether the travel is grant-related.
  2. Presenter Verification
    The system will prompt you to indicate if you will be a presenter at the conference.
    • If yes, attach supporting documentation, including the conference agenda showing your name and session, and a copy of your PowerPoint presentation or slides.
  3. Grants Office Notification and Review
    Once submitted, your DocuSign request will automatically notify the Grants Office for budget verification.
    • The Grants Office will schedule a brief meeting to discuss how the event aligns with grant outcomes and benefits the College.
  4. Grants Office Decision
    Following the meeting, the Grants Office will either approve or deny the travel request.
    • If approved, the request proceeds to your department or division representative for review and approval.
  5. Department and Division Approval
    Your department or division representative reviews the request and, once approved, routes it forward for final processing.
  6. Final Institutional Approval
    After departmental approval, the travel request is routed for final institutional approval.
Post-Travel Reporting

After attending a conference or event:

  1. Complete the Executive Summary Questionnaire within DocuSign, highlighting your experience and key takeaways from the conference.
  2. Attach required supporting documentation, including:
    • The conference agenda
    • Materials from 2–3 breakout sessions attended

The Grants Office retains these materials as part of the official grant record for institutional and sponsor reporting requirements.
